Appalachian Outfitters — internal QuickBooks apps: TallySoft Daily Journal Poster and Receiving Reconciler. Effective date: September 29, 2026 (first published August 17, 2026).

Overview

The TallySoft Daily Journal Poster and the Receiving Reconciler (each "the App") are private, internal tools operated by Appalachian Outfitters solely for its own bookkeeping. They connect only to Appalachian Outfitters' own QuickBooks Online company through the Intuit API. Neither App is offered to, installed by, or used by the public or any third party.

Information We Access

  • Journal Poster: QuickBooks Online accounting data (chart of accounts, classes, and journal entries), and point-of-sale sales totals from Appalachian Outfitters' own systems, used to build the daily journal entry.
  • Receiving Reconciler: QuickBooks Online vendor bills, the vendors on them, and the invoice files attached to those bills; and purchase-order and receiving records from Appalachian Outfitters' own point-of-sale system.

The Apps do not collect personal information from any external consumers or app users. Vendor invoices may contain vendor business contact details, which are used only as described below.

How We Use It

  • The Journal Poster uses accessed data only to create and, when needed, reverse a single balanced daily journal entry.
  • The Receiving Reconciler uses accessed data only to compare each vendor bill, item by item, with the goods actually received, and to attach a receiving record (PDF) to the matching bill in QuickBooks Online.

Accessed data is used for no other purpose.

Service Providers

To read line items from a vendor invoice file, the Receiving Reconciler sends that invoice's page images to an AI document-reading service (OpenRouter, which routes the request to Google's Gemini models). Only the invoice pages are sent; no QuickBooks credentials, and no data about individuals other than any vendor contact details printed on the invoice. The Journal Poster uses no such service.

Storage and Security

  • OAuth access and refresh tokens are stored locally on an Appalachian Outfitters-controlled computer in access-restricted files, one per App; they are never committed to source control or shared.
  • The Apps run from Appalachian Outfitters-controlled computers and connect to the Intuit API over HTTPS.

Sharing

We do not sell, rent, or share any data accessed through the Intuit API with third parties, other than sending invoice pages to the document-reading service described above for the sole purpose of reading them.

Data Retention

The Journal Poster retains only its OAuth tokens and a local record of which dates have been posted. The Receiving Reconciler retains its OAuth tokens and a local record of each bill it checked (the lines read, how they were matched, and who approved or held it); invoice files themselves stay in QuickBooks Online. Access can be revoked at any time from within QuickBooks Online, which invalidates the stored tokens.
